Review a cost carried from an estimate, or record the actual cost of an invoice line separately from its selling price.

1. Open the invoice

Go to Invoicing → Invoices and open the intended invoice. Confirm its customer, status and line items.

2. Open Item Costs

Turn on Options → Item Costs, then choose the line’s C control. A cost carried from an estimate remains unposted until you review and confirm it as an actual invoice cost.

Item Costs makes the per-line cost control available.

3. Review the actual cost

In Item Expense, check Expense Category, optional Vendor, Actual Cost, Expense Date, Paid From and any applicable tax. This is what the line cost you, rather than the selling price.

4. Check an existing expense first

If a matching expense is offered, review it and use Use This Expense when it is the same cost. Linking an existing expense does not post it again.

5. Apply and save

Choose Apply to Line, then save the invoice. Reopen the line’s cost details and check the relevant expense record. A cost carried from an estimate needs this review before posting.

6. Read removal confirmations

If you turn recorded costs off, read Remove item costs? and Remove on Save before confirming. Removing a cost differs from hiding a column. Voiding a sale keeps genuine item costs.
