Keep included retainer hours separate from extra work that may need another invoice.

1. Review the retainer

Open the customer’s retainer and check the period, included hours, price, rollover rules, and any overage terms against the agreement.

A retainer review distinguishes current terms from proposed future changes.

2. Log the actual time

Record work against the intended project and task. Check the member, date, duration, and billable setting.

3. Review covered work

Use the retainer’s time review to check which entries are included in the current allowance. Review remaining, carried, and extra hours for that period.

4. Bill only eligible extras

Prepare an invoice for the extra work under the agreed terms. Exclude time already covered by the retainer or billed elsewhere.

5. Check the period and invoice

Confirm the retainer period totals and review the new invoice’s lines, quantities, and total before sending.
